The Great Big Budget Breakdown WITH SPREADSHEETS

First off: Detail Shots, A Few Other Shots
My husband and I were spreadsheet fiends. We had about 12 for every little detail of the wedding. One for timeline, one for honeymoon, one for trivia, one for photo requests, etc. The itemized budget links to the pie chart, and the seating chart was made to reflect the table layout.
Location: Southwest Ohio

Guests Invited: 140
Guests Attended: 100 (3 no-shows, one last-minute yes)
Initial Budget: ~$18k
Final Total: ~$15.6k
Venue: Free (originally ~$3600 with a church member discount) plus $175 wedding insurance
If I can give any bride or groom one piece of advice: Do not book a venue that’s under construction. Getting a venue for free was unexpected and bittersweet. We booked our venue (a new space at my church) when it was under construction with the promise that it would be done by the end of 2018. Then we were promised it would be done by January of 2019. Then March. Then May. The venue was still incomplete, but usable, by the time our wedding happened. The staff at the church were extremely generous and gifted us our venue because it was not finished as promised. This was the single most stressful part of our wedding, and caused a lot of angry tears and terse emails on my end. Our venue ended up being fine, but I wouldn’t book it again if I had the choice.
Photographer: $3450
Our photographer was worth every penny. She not only delivered amazing photos, she was present and helpful during the entire planning process. I cannot stress the importance of a good photographer, and it was my #1 priority from the beginning to have a photographer I loved.
Catering: $5100 including tips
I truly hate how expensive catering is. We went with a standard, large catering business and it was just okay to me. We got a lot of compliments on the food (lasagna) and the staff were very nice and flexible with the venue issues. In my absolute dream wedding, we have a lavish brunch buffet. In reality, it was going to be very, very expensive to have the kind of food I dreamed of. This was a sore spot for me, but it was fine and our guests seemed happy.
Drinks: $530
Our venue is BYOB, and we were able to get beer, wine, and La Croix for under $600. We also kept all the leftovers and don’t need to buy beer for another few months. Since we saved some money in other areas, we were able to treat our guests to our favorite local craft beers, and we got quite a few remarks on our selection- Warped Wing Trotwood, Rhinegeist Truth, Blue Moon Wheat Ale, and Angry Orchard apple cider (plus wine that we just grabbed off the shelf). We also had La Croix because we’re addicted to sparkling water.
Dessert: $300
I work at a local bakery, and took advantage of the 20% employee discount. Our guests loved it and the table was demolished by the end of the night. I also made our wedding cake, which was vegan (we had several vegan guests) and it was amazing. Baking is my passion and it was important to me to make my own wedding cake.
Decor: $580ish
We had very minimal decor. We used sola flowers and 3D printed table numbers for the reception, and our other decorations were photos, frames, signs, and a card box.
Flowers: $208
I did a DIY package with a local florist for my bouquet. These were the only fresh flowers at the wedding, and they turned out beautifully. If we had an extra couple thousand in the budget, I would have loved to have fresh flowers in our centerpieces. Alas, flowers weren’t a priority.
Videography: $500
We made a last-minute decision to have someone film the ceremony and give us the raw footage. My husband volunteers on his church’s media team and reached out to someone there. I’m in a creative field and I’ll edit the footage myself. Again, if we had an extra few thousand in the budget, I would definitely hire a professional videographer. I was so sad when we thought we didn’t have enough money for a videographer, but when we got our venue refund my husband found a good compromise.
DJ: $895
I wasn’t super pleased with our DJ, mostly because he didn’t contact us until 2 days before the wedding to give us some important information and he pronounced my name wrong when he announced us. All he had to do was ask for clarification if he wasn’t sure how to say my name (Cassie). He played decent music but didn’t MC very well, and didn’t bother to go over any details for the reception until it was too late. Oh well.
DIY Photo Booth: $266
We bought a used iPad, ring light, and tripod and downloaded an app. We were afraid no one would use it, but it was a huge hit and we got prints of everyone’s photos. I use the iPad all the time now, and we’re renting the setup to my cousin later this year. Win-win. Side note, don't have someone who's 6'3" set up the potobooth. Most of the photos have too much headroom.
Mail: $175ish
Invitations, save-the-dates, online RSVP, postage, and generic thank you cards from Target. We used Catprint and will be using them always and forever. Our prints turned out amazing. I’m a designer and I did all our printed materials, and it was so fun to make a custom suite for ourselves.
Bride (including everything): $2315
  • Dress: $640
  • Reception Dress: $40
  • Alterations: $450
  • Makeup: $150
  • Everything else: $1185
Everything else includes Rothy’s flats (2 pairs, oops), minimal jewelry, hair, nails for 3 people, undergarments, and waxing. My dress was a sample, and I scored big time. It retailed for $1750 and I bought it at a shop that sells samples and liquidated inventory. The reception dress was from Forever 21- I wanted to be able to dance in comfort. In retrospect, it would have been nice to dance a bit in my wedding dress and change later. Side note, I will be selling my dress if anyone is interested. Pronovias Amaya, street size 12 (American) but let out slightly. My hips are more like a size 14.
Groom: $115ish
Groom wore a suit he already owned and just bought accessories. Lucky him.
Wedding bands: $345
We got stainless steel bands at my husband’s request. He’s an engineer and he’s all about materials, haha. His has carbon fiber on the inside and mine is just a simple band that I can wear separate from my engagement ring if I want to.
Vendor Gifts: $100ish
We put together gift bags for our officiant (we loved her), makeup artist, and photographers. They all set their own prices (church officiant was free) and we didn’t tip, but we wanted to give them something to thank them.
Extra Stuff: $615
Included Airbnb for a friend, marriage license, interpreter, tips (except catering), and some little things that came up on the day of.
Now that that’s out of the way: some notes!
Things that were important to us:
  • guests’ comfort
  • beer selection
  • writing our own vows
  • great photography
  • making my own wedding cake
  • dancing
Things that were’t important to us:
  • fresh flowers
  • lots of decor
  • most traditions (see below)
  • customizing literally everything
Things we skipped:
  • wedding party
  • speeches
  • parent dances
  • unity ceremonies
  • big wedding cake
  • sendoff
Pros of skipping lots of traditions: Because we skipped the wedding party and had our portraits before the ceremony, we got to spend time at the cocktail hour with everyone. I insisted on making time to hang out at our own cocktail hour and have a drink. The timeline was easily managed without wedding parties and long speeches/dances, and we didn’t feel any pressure to perform during the reception. We got to relax, mingle, dance, and spend time with everyone (although it still wasn’t enough!).
Cons of skipping traditions: Our wedding really could have started an hour later. Lack of traditions, coupled with a short ceremony, meant we were ahead of schedule. Our DJ was also shuffling the event along far too quickly. We ended about an hour early, mingled for about 15 minutes, then started clearing out. On the plus side, we weren’t too tired for post-wedding fun when we got home. Also, it would have been nice to have a wedding party in retrospect, but when we planned the wedding it wasn't a priority.
Some other details:

  • Wedding cake (made by me): chocolate orange layers, chocolate ganache filling, and vanilla orange buttercream (all vegan) with a Lego cake topper
  • Where we sat: We skipped a sweetheart table and sat with all our grandparents. My mean grandma out a damper on dinner but it was important to us to spend time with them after 3 of our grandpas passed away last year
  • We got compliments on: The water bottles left on the ceremony chairs for guests, the beer selection, the dress change, the ceremony (length and content), the photo booth
  • Guests didn’t seem to care about: cocktail hour food, menus/signage, decor, taking photos with us (seriously no one took selfies with me and I was kinda sad)
DO: Have a first look with your dad, mom, whoever is important to you. My dad and I are very emotional and I will cherish the memories of our first look for the rest of my life.
DO: Overestimate how much dessert people will eat if you’re doing a dessert table. Because you have a variety of options, everyone will want to have multiple pieces (as in, 4 or 5 or more per person). Our dessert table was demolished by the end of the night. We had about 3 pieces per person- full size cupcakes, cookies, cookie sandwiches, brownies, and cake. Still wasn’t enough.
DO: Delegate tasks, including cleanup efforts. People want to help. Let them help. We put together a very detailed wedding binder with instructions, vendor contacts, and all the details to hand off to my aunt, who oversaw some friends and family setting up. We didn’t have to worry about anything but ourselves on the day of (except my husband couldn’t help himself and went to set up audio equipment anyway).
DON’T: Get too caught up in things that won’t ruin your guests’ experience. Your guests truly don’t care about the card box, but they do care about having enough to eat. Your guests don’t care about what color the napkins are, but they do care about how long they have to stand outside in the heat or cold. Pretend you’re a guest at your own wedding.
DON’T: Let other people steamroll you. It’s your wedding.
DON’T: Steamroll other people. I thought I was being super chill about wedding planning, and even I had a hard time keeping it cool at some points (according to my husband and my mom). Be cool. Stand firm when you need to, but do it in a way that preserves the relationships that are important to you.
BIG TAKEAWAY: No matter how well you and your FS work together, it will get stressful. Talk to people about it. Get input and perspective from friends and family. Know which hills are worth dying on (hint: there aren't many), and which ones aren't. Remember that you love this person, you chose this person, and you are in this together. It's better on the other side. I promise.
